A light touch steering committee ensures the continuity of Autobóz by overseeing the appointment of organisers for future editions and offering guidance to new organising teams when needed. Once appointed, the organisers (not the steering committee) assume full responsibility for all organisational matters for the year, including the selection of participants, negotiation of the venue and management of the finances (each edition of Autobóz is financially independent).
The steering committee consists of one representative from each of the three most recent organising teams. At the conclusion of each event, the outgoing organising team selects their representative to join the committee, while another member steps down.

The standard practice for organising Autobóz is that the current organisers nominate the next lead organiser, whose appointment is then confirmed by the steering committee. If no suitable nomination emerges, the steering committee will intervene to identify an organiser.
The appointed lead organiser has full discretion to assemble their own organising team. At least one member of the organising team must have previously attended an Autobóz.

To be considered, the steering committee typically expects an outline that includes:
- The proposed country (within Europe)
- Approximate dates, ideally aligned informally with a TCS conference (e.g., “in Poland next to CONCUR”, “in Germany between ICALP and Highlights”, or “in Estonia next to ICALP and LICS”)
While specifying a particular venue is preferred, it is not required at this stage. However, securing a venue will be your first priority on appointment.
Additionally, expressions of interest from those wishing to contribute to the organising team—without taking on the lead role—are also welcome. Such offers will be shared with the appointed organiser, who ultimately selects their own team.
Responsibilities and Expectations for Autobóz Organisers
- Organisers have full control of the logistics, programme, participants, and venue of their edition of Autobóz.
- The steering committee are available to provide advice, answer any questions, and be generally helpful if needed. The steering committee does not expect to be consulted on organisational matters. The only exception is if the organisers want to change the country/month/conference-adjacency, this should only happen in discussion with the steering committee.
- The organisers should inform the steering committee of the progress in securing a venue. Preferably the organisers should organisers find a venue, although the steering committee has previously stepped in to help find a suitable venue.
- The organisers are responsible for the finances (finding a suitable organisation to handle finances, invoicing the participants, applying for any funding, paying the venue or other costs, including pre-financing any deposits). Autobóz does not carry any money, so there is no money from one year to the next.
- After Autobóz n, in the first instance organisers are responsible for trying to find the next organiser for Autobóz n+1 (for example by starting the discussion at Autobóz n). The proposed organisers are to be agreed with the steering committee. The steering committee will step in if there are no proposals.
- After Autobóz n, the organising team selects one of its members to join the Autobóz steering committee for a three-year term. Membership of the steering committee is a very lightweight administrative role. Members of the steering committee are primarily concerned with the continuing success of Autobóz and the smooth transition from one organising team to the next.
